Rental leads not responding? What's usually happening, and what to do

By The Dooro team · Published · Updated

Most rental leads that go quiet were comparing several listings, or never got your reply. Check that your replies actually arrive, then send every quiet lead one short follow-up about two days later and leave it there.

It usually isn't you, and the leads usually aren't fake. Below is why it happens, and the 15-minute routine that handles it.

Why rental leads stop replying

Most of the quiet ones were shopping. A renter after a two-bedroom in your area often sends the same message to several listings in one evening, then tours with whoever writes back first. If that wasn't you, your reply lands after they've booked a Saturday somewhere else. Landlords on BiggerPockets describe exactly this: a tour request, a quick answer, then nothing (“Strange Zillow rental listing response pattern”).

Some never saw your reply at all. Rule this out first, because it's the one cause you can fix in five minutes. In one BiggerPockets thread the landlord was answering from a personal address that the listing emails had been forwarded to, and those replies never reached the renter (“Zillow email & messaging seems a mess”).

Sometimes the first reply asks for too much. A message that opens with a list of requirements gives someone comparing listings an easy reason to pick another one. One landlord who led with a requirements list said about one inquirer in ten wrote back (“No response on Zillow!”).

The inquiry

Hi, is the 2-bedroom on Elm still available? I'd like to see it.

Thanks for asking about the 2-bedroom on Elm. It's free from Nov 1. Would a weekday evening or a Saturday suit you for a tour?

Answers what they asked.

One easy question back.

Thank you for your interest. Before we schedule a showing, please confirm your move-in date, your monthly household income and the number of occupants, and complete the attached pre-application form.

Three questions before they've seen the place.

A form to fill in before a tour.

Same inquiry, two replies. The first gives someone comparing listings an easy yes. The second gives them a reason to try the next listing instead. Both are illustrations.

And sometimes life moved on. The move date slipped, they renewed, or they took a place that fell through a month later. Remember those people, because some of them will be looking again soon.

A 15-minute routine for the ones that went quiet

Check delivery before anything else, since every other step depends on it.

Five-minute delivery check

  1. From a personal email address, send an inquiry to your own listing.
  2. Reply to it the way you normally answer renters.
  3. Look for your reply in that personal inbox, and check spam too.
  4. If it never arrives and you forward listing email to another inbox, reply from the address the listing site expects, then test again.
Do this once now, and again whenever you change how listing email reaches you.

After that it's habit:

  1. Answer new inquiries in the same sitting you see them, with one sentence and one question, like the first reply above.
  2. About two days later, send one short follow-up to anyone who didn't answer.
  3. Then stop. Note the date and the unit, and keep the thread.

When a similar unit opens, that thread is the warmest list you have: people who asked about something close to it recently and never said no.

Worked example (illustrative)

Say a 2-bedroom gets 40 inquiries over three weeks. You reply to all 40, 6 write back, 2 tour, and neither applies.

40inquiries
6replied
2toured
34never said no
The worked example: of 40 inquiries, 6 replied and 2 toured, which leaves 34 people who never said no. An illustration, not a benchmark.

That still leaves 34 people who asked about this exact kind of unit and never said no. Some have stopped looking, and some never saw your reply. You don't have to guess which: a short, honest follow-up to those 34 costs nothing, and it often tells you more than another listing boost would.

Where Dooro helps, and where it doesn't

Dooro works from the inquiry trail you already have. You forward the inquiry emails for a hard vacancy, and Dooro reads that trail and tells you what it supports: no signal, weak signal, or strong signal. One is enough to begin; three to five gives the audit a fairer sample. If the evidence is there, the next step is a review of whether a Recovery Campaign (a re-contact you approve, which renters can opt out of) makes sense. If it isn't, we say so.

Dooro doesn't connect to Zillow, Apartments.com or your inbox, and it doesn't reply to new leads for you. You choose which emails to forward. It also doesn't judge renters; it reads the demand trail around your listings.

Free private audit. If there's no meaningful signal, we say so.
